ProAcademy Rugby Camps and Weekly Academy Sessions: Terms and Conditions

1. General Terms

  • Registration: Participation in ProAcademy Rugby Camps and Weekly Academy Sessions requires prior registration. Registration is confirmed upon receipt of payment.
  • Eligibility: Participants must meet the age and skill requirements specified for each camp or session. Any exceptions must be approved by ProAcademy.
  • Code of Conduct: All participants are expected to adhere to the code of conduct, including respecting coaches, staff, fellow participants, and equipment. Any breach may result in removal from the program without a refund.
  • Medical and Emergency Information: Parents/guardians must provide full disclosure of any medical conditions, allergies, or special requirements at the time of registration. Participants must be medically fit to participate in physical activities.
  • Equipment: Participants are required to bring appropriate gear, including rugby boots, mouthguards, and personal water bottles. ProAcademy is not responsible for any lost, stolen, or damaged personal items.

2. Payment Terms

  • Camps: Payment for ProAcademy Rugby Camps must be made in full at the time of registration. Registration is only confirmed once payment has been received.
  • Weekly Academy Sessions: These sessions are prepaid in term blocks. Payment for the entire term is required in advance. Partial payments or pay-as-you-go are not accepted.

3. Refund Policy

  • Camps:
  • Cancellations made 14 days or more before the camp start date are eligible for a full refund minus a 10% administrative fee.
  • Cancellations made within 14 days of the camp start date will receive a 50% refund.
  • No refunds will be given for cancellations made less than 48 hours before the camp start date or for non-attendance.
  • Weekly Academy Sessions:
  • Cancellations made 7 days before the start of the term will receive a full refund minus a 10% administrative fee.
  • Cancellations made within 7 days of the start of the term will receive a 50% refund.
  • No refunds are available after the term has commenced.
  • Missed sessions due to personal reasons, illness, or injury are non-refundable and non-transferable.
  • Event Cancellations by ProAcademy: If a camp or session is cancelled by ProAcademy due to unforeseen circumstances (e.g., weather, lack of participants), participants will receive a full refund or the option to transfer their registration to another camp or session.

4. Liability

  • Injury and Accidents: ProAcademy and its staff will take all necessary precautions to ensure the safety of participants. However, participation in rugby carries inherent risks, and ProAcademy shall not be held liable for any injury, illness, or accident sustained during camps or sessions.
  • Medical Care: In the event of an injury or medical emergency, ProAcademy staff may administer basic first aid and, if necessary, arrange for professional medical treatment. Parents/guardians will be notified immediately.
  • Property Damage: ProAcademy is not responsible for any damage to personal property that occurs during camps or sessions. Participants and their guardians are responsible for ensuring that personal belongings are secure.
  • Insurance: It is recommended that participants have personal accident insurance in place to cover any injuries sustained during camps or sessions.

5. Termination of Participation

  • ProAcademy reserves the right to terminate the participation of any individual at any time for behavior deemed inappropriate, dangerous, or disruptive. No refund will be provided in such cases.

6. Photographs and Media

  • By registering for ProAcademy Rugby Camps and Weekly Academy Sessions, participants and their guardians consent to the use of photographs and videos taken during the sessions for promotional purposes. If you do not wish to have your child’s image used, please notify ProAcademy in writing prior to the start of the camp or session.

7. Data Protection

  • Personal information provided during registration will be stored securely and used solely for the purposes of administering the camps and sessions. ProAcademy will not share this information with third parties without consent, except as required by law.

8. Changes to Terms and Conditions

  • ProAcademy reserves the right to amend these terms and conditions at any time. Any changes will be communicated to registered participants.
